Privacy notice

The PROMOTE course website (this site) is run by Dr. Roxana Geoffrion, Department of Obstetrics & Gynaecology, University of British Columbia, for the training of gynaecology residents. This notice explains what information the site collects, why, who can see it, and how to ask for it to be corrected or removed.
What we collect
- Account details — your name, email address and a password (stored only as a one-way hash; we never see it), and the training site whose access code you used when signing up.
- Course activity — the date and time of each sign-in, the furthest step you have reached in each module, and each written-test attempt (score and pass/fail).
- Demographic questionnaire — the answers you give when creating an account (age, country of training, sex assigned at birth, gender, handedness, glove size, dexterity hobbies, level and specialty of training, years of training, prior simulation and vaginal-surgery experience).
We do not collect payment details, and the site does not use advertising or tracking cookies. The only cookies or browser storage used are those required to keep you signed in.
Why we collect it
- To give you access to the course and record your progress towards completing each module.
- To let the surgical educator at your training site confirm that you have passed the written test before your hands-on session.
- To evaluate and improve the curriculum as part of educational quality-improvement research. Demographic answers are analysed only in de-identified, aggregate form and are never used to evaluate an individual.
Who can see your information
- You — your own progress, shown in the Student Portal.
- Your site's educator — your name, email, module progress and written-test results, for residents at their training site only. Educators cannot see your demographic answers.
- The course administrators (Dr. Geoffrion and a course co-ordinator) — all of the above, including sign-in history and the demographic questionnaire, for all sites.
No information is sold or shared outside the course team. Anonymised, aggregate results may appear in research publications and presentations; nothing that identifies you will be published.
Where it is stored
Account, progress and questionnaire data are stored in Google Firebase (Authentication and Cloud Firestore), a cloud service used under Google's security and privacy commitments, with access restricted by role-based security rules. Data may be stored on servers outside Canada.
How long we keep it
Course records are kept for as long as the course runs and for a period afterwards to support the research evaluation, after which they are deleted or fully anonymised. If you would like your account and data removed sooner, see below.
Your choices
- You can change your password at any time from the sign-in page ("Forgot your password?").
- You can ask to see, correct or delete the information we hold about you by emailing roxana.geoffrion@ubc.ca. Deleting your account removes your progress records and questionnaire answers; de-identified data already included in aggregate analyses cannot be withdrawn.

This notice describes the site as built. If the demographic questionnaire forms part of a study reviewed by a research ethics board, the study's approved consent form takes precedence and its reference number should be added here.
